AI for bookkeeping is most useful in the place accountants spend the least enjoyable hours: the routine. Coding bank feed transactions, matching receipts, chasing missing invoices, reconciling spreadsheets and pulling together a month-end pack. An AI employee can take that work on in QuickBooks, Xero and Excel, leaving the judgment, the review and the filing to you and your CPA or accountant.
What an AI bookkeeping assistant actually does#
A Super Intellect AI employee works on its own dedicated Windows computer with a browser, Excel and Outlook or Gmail. It signs into QuickBooks Online, Xero, Sage or FreeAgent as a user you create for it, opens a QuickBooks Desktop company file if you install it in its workspace, and works on screen like a junior bookkeeper.
You describe the routine once, in plain English, with your rules: which vendor goes to which account, when to ask instead of guessing, what the month-end pack should contain. The employee follows those rules every day and reports what it did and what needs your attention. In your dashboard you see screenshots of its screen, refreshed every few seconds, and a log of its actions.
Bookkeeping tasks to hand over#
Bank feed categorization#
The employee reviews new bank and card transactions, applies your coding rules and matches transactions to existing bills and invoices. Anything unclear goes into a short list of questions instead of a guess.
Receipt capture and matching#
It collects receipts and bills from a shared inbox or folder, attaches them to the right transactions and keeps a running list of what is still missing. Then it drafts polite reminders to the people who owe you a receipt.
Invoicing and collections#
It drafts invoices from your job sheets or sales orders, checks overdue invoices every week and sends reminders that get firmer over time, using your wording. It logs every promise to pay. In the UK, it can include the statutory late payment wording if you ask it to.
Excel reconciliations#
Vendor statements, marketplace payouts, payroll reports, inventory counts: the employee compares an export with your ledger in Excel, highlights the differences and explains each one in a comment.
Expense claims and company cards#
Staff expenses tend to arrive late and incomplete. The employee checks each claim against your expense policy, matches it to the card statement, flags missing receipts and anything over your limits, and prepares a clean list for the manager who approves. Approved claims are coded to the right accounts and cost centers, so nothing sits in a suspense account until the end of the quarter.
Month-end prep for your CPA or accountant#
At month end, it runs the reconciliation checklist, exports the reports your accountant wants, lists open items and assembles everything into one folder with a short cover note.
Year-end and tax season groundwork#
In the US, it can collect missing W-9 forms from vendors and build the spreadsheet your CPA needs for 1099 preparation. In the UK, it keeps records tidy for VAT and Making Tax Digital so your accountant gets clean quarterly figures. Filing stays with you or your adviser.
What the AI employee does and what stays with you#
| Task | AI employee | Stays with a person |
|---|---|---|
| Bank feed | Codes by your rules, flags unclear items | Answering the questions |
| Receipts | Collects, matches, chases missing ones | Deciding on items with no receipt |
| Invoices | Drafts invoices and reminders | Handling disputes |
| Bills | Enters bills, prepares a payment run list | Approving and sending payments |
| Month-end | Reconciliations, reports, open items list | Review, adjusting entries, closing the period |
| Tax | Workpapers and supporting schedules | Filing, signing, tax advice |
How much time it can free up#
Every business is different, so measure it yourself. Before you start, track for one month how many hours go on coding, receipts, reminders and month-end prep. Then compare after the first full month with the AI employee.
| Routine task | Hours per month before | Hours per month after (review only) |
|---|---|---|
| Bank feed coding | 10 | 2 |
| Receipt chasing and matching | 8 | 2 |
| Invoice reminders | 5 | 1 |
| Month-end pack | 6 | 2 |
Demonstration, figures are illustrative. Your real numbers depend on transaction volume and how clean your rules are.
Safety and control#
Financial data deserves extra care.
- Least privilege. The employee gets its own login and only the rights it needs. No access to online banking unless a task truly requires downloading statements.
- Questions only when they matter. The employee asks before payments, emails to strangers and deletions. Payments and filings always stay with a person.
- Verification codes. Two-factor codes go to you, and the employee does not get around CAPTCHAs.
- Data. Check the rules on personal and financial data that apply to your business, and share only what each task needs.
How to get started#
- Pick one routine: bank feed coding or invoice reminders are the easiest first wins.
- Write down your coding rules and reminder wording, even as a rough list.
- Choose the bookkeeping assistant role in the AI employee catalog, or see the finance bundle in solutions.
- Sign up free, create a limited user for the employee and check the log during the first week.
On the SUPER II plan one AI team costs 24 000 ₽ (≈ $255) per month, and the full plan comparison is on the pricing page. If your bottleneck is in sales rather than the books, read AI employees for small business.
